*OYA Black Arts Coalition* is a non-profit organization dedicated to supporting Black artists, creators, and entrepreneurs within the entertainment sector. Our current Emerging Filmmakers program provides mentorship, networking, and essential skills training to post-secondary graduates of film, television, and digital media programs to kickstart their careers and increase employment opportunities.
The Program Coordinator is expected to work closely with the Operations Manager, Program Manager, Program Coordinators, partners, participants, facilitators, and all industry stakeholders to oversee all aspects of the program. The Program Coordinator will report directly to the Operations Manager.
*General Duties & Responsibilities:*
- Coordinating application processes for participants, verifying the accuracy and completeness of documents
- Administer contracts/agreements to participants, program partners, external speakers and mentors
- Draft program schedules, participant surveys, program updates to participants, facilitators and partners etc.
- Coordinate the implementation of programming for participants hosted by professional industry facilitators and industry partners
- Effectively manage program schedule, ensuring all requests and correspondence are handled in a timely manner and identify any issues that could impact program timeline
- Manage the collection of invoices and receipts from program partners, participants and industry facilitators and mentors
- Coordinate the evaluation of the program activities through participant surveys
- Coordinate virtual meeting tools (i.e. Zoom)
- Organize and coordinate the storage of all program audio-video and social media content,
- Maintain our presence on Facebook, Instagram, Twitter and LinkedIn by assisting with organization's social media accounts
- Engage with our community of followers, donors volunteers, partners and specialty communities on various social media platforms
- Contribute to content to the organization's biweekly newsletter
- Liaison with participants, program partners, external speakers and mentors throughout the program
- Any other duties as required
*Professional Qualifications:*
All candidates are expected to have a post-secondary degree/diploma from a recognized institution in a relevant discipline, as well as demonstrate a familiarity with the intersections of Black community engagement and media arts from an anti-oppression lens. Preference will be given to candidates who have demonstrated experience within the film/media industry.
*Successful candidates must have:*
- Progressive coordinating experience in an arts-based setting, leading and supporting teams,
- Excellent time management and the ability to manage and prioritize multiple program-related requests efficiently
- Project/Program management demonstrated capability
- Excellent and responsive problem-solving and conflict resolution skills
- Experience supporting committees and events, and implementing virtual meetings
- Demonstrated ability to work collaboratively and effectively as a leader and as a member of a team
- High degree of confidence in using information technologies and new software applications like Asana, Slack, Zoom, GSuite
- Excellent verbal and written communication skills
\*The office is near Carlaw/Queen with the flexibility for hybrid working from home 1-2 days a week.
