If you are a proactive individual with experience in administrative functions and possess excellent organizational and communication skills, we invite you to apply for this exciting opportunity to contribute to the success of our organization's recruitment efforts.</p><p><strong>Responsibilities:</strong></p><ul><li><strong>Office Management:</strong><ul><li>Manage and maintain the office environment, ensuring it is organized and well-stocked with necessary supplies.</li><li>Answer and direct phone calls, taking messages as needed.</li><li>Greet and assist visitors in a professional and courteous manner.</li></ul></li><li><strong>Scheduling and Calendar Management:</strong><ul><li>Coordinate and schedule appointments, meetings, and conferences.</li><li>Send out meeting invitations and reminders as needed.</li><li>Customer coordination & scheduling of sales related activities and equipment orders</li><li>Update coordination software tools as required</li></ul></li><li><strong>Recruitment Support:</strong><ul><li>Assist in the creation and posting of job openings on various platforms.</li><li>Coordinate and schedule interviews, ensuring a smooth and efficient process.</li><li>Communicate with candidates to provide information, gather necessary documents, and schedule assessments.</li><li>Facilitate the onboarding process for new hires</li></ul></li><li><strong>Data Entry and Documentation:</strong><ul><li>Input and update data in various systems and databases.</li><li>Prepare and edit documents, reports, and presentations.</li><li>Maintain organized filing systems, both electronic and physical.</li></ul></li><li><strong>Travel Coordination:</strong><ul><li>Make travel arrangements, including booking flights, hotels, and transportation.</li><li>Prepare travel itineraries and ensure all necessary arrangements are in place.</li></ul></li><li><strong>Meeting Support:</strong><ul><li>Assist in the preparation of materials for meetings.</li><li>Coordinate catering and other logistics for meetings and events.</li></ul></li><li><strong>Problem Solving:</strong><ul><li>Address and resolve administrative issues and inquiries.</li><li>Anticipate and proactively address potential challenges.</li></ul></li><li><strong>Ad Hoc Tasks:</strong><ul><li>Undertake special projects and assignments as needed.</li><li>Provide additional support to executives and teams as required.</li></ul></li></ul><p><strong><span class="long-word">**Qualifications:**</span></strong></p><ul><li>High school diploma or equivalent; additional qualifications as an Administrative Assistant will be a plus.</li><li>Proven experience in administrative roles, with a focus on recruitment support.</li><li>Familiarity with applicant tracking systems and recruitment software.</li><li>Strong organizational and time-management skills.</li><li>Excellent verbal and written communication skills.</li><li>Ability to handle sensitive information with confidentiality.</li><li>Detail-oriented and able to multitask effectively.</li></ul></div>Company Description<div>AM/PM Service, established in 1987, is a leading Point of Sale (POS) and Service company with a significant presence in both Canada and the USA.
