Job Purpose: The Program Coordinator is a vital role within the Bragg Creek Community Centre, encompassing both program development and administrative support. This full-time position is essential in ensuring the efficient operation and vibrant programming of the Centre. The Program Coordinator will manage a variety of administrative tasks, including the accurate processing of invoices and payments, to support the Centre's financial health. Additionally, this role involves engaging with community members and patrons to enhance their experience and encourage the utilization of Centre programs. As a key member of our dedicated team, the Program Coordinator will contribute significantly to the Centre?s success by fostering strong relationships and ensuring the smooth execution of all programming and administrative functions.
This person will be responsible for
1. Administrative Support & Community and Patron Engagement:
* Build and maintain positive relationships with community members and Centre patrons, addressing their needs and promoting the Centre?s programs.
* Processing all invoices and payments as required
* Processing membership payments and assisting in sending membership renewal notices
* Assist in Centre Inventory on an annual basis plus maintain program assets condition
* Answering phone and email requests for information
2. Program Development and Management:
* Take lead in designing, implementing, and evaluating programs that meet community needs and enhance the Centre?s offerings.
* Facilitate Current BCCA Programs: Rumble & Roar, and Pickleball: ensuring that programs are scheduled, advertised and attendance is recorded for statistical purposes and payment
* Provide program statistics on attendance and revenue on a monthly basis
3. Operational Efficiency:
* Support daily operations of the Centre, coordinating with team members to ensure seamless program delivery and administrative processes.
4. Support for Volunteer-Led Community Events:
* Collaborate with community volunteers to plan, organize, and execute volunteer-led events at the facility.
* Provide logistical support and guidance to volunteers, including event setup, coordination, and breakdown.
5. Financial Management:
* Grow program revenues
* Working closely with the ED and other staff to develop and manage the program budgets, including setting pricing strategies and tracking revenue.
* Process program payments, deposits, and refunds, ensuring accuracy and timeliness.
* Prepare financial reports related to program activities and provide insights to the Executive Director
6. Community Engagement:
* Foster a positive relationship with the community and actively seek feedback to improve services and address any concerns.
* Collaborate with community leaders and organizations to identify and leverage new program opportunities.
Qualifications
? Minimum High School Diploma
? Preferable degree in recreation, physical education, or equivalent
? Experience with not-for-profit organizations would be an asset
? Exceptional interpersonal skills, communication skills, and organizational skills
? Computer proficiency with administrative and office experience
? Able to work both independently and in a team, environment exhibiting a high level of initiative
? Office Administration, Communications, or Recreation Operations Certification would be an asset.
? Excellent organizational and multitasking abilities with attention to detail.
? Exceptional communication and interpersonal skills, with the ability to interact effectively with diverse groups.
? Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with marketing software and tools.
? Flexibility to work evenings and weekends as needed for programs and community events
? Criminal Record Check with Vulnerable Sector Check
? Valid Class 5 Driver?s License & reliable vehicle
First Aid and CPR Level C Certification
