*Santé Circle Health *is looking for a meticulous, detail-oriented, and well-organized individual to join our team as an Accounts Receivable Clerk. Reporting to the Director of Finance, the Accounts Receivable Clerk is responsible for ensuring timely and accurate management of receivables from various clients, including healthcare providers, insurance companies, and patients. The role involves handling accounts for up to 8 companies and managing up to 50 contracts within the healthcare sector, with a particular focus on orthopedics, rehabilitation, and other wellness services.
*Responsibilities will include:*
*Invoicing and Billing:*
* Generate and issue accurate invoices to clients, including healthcare providers, insurance companies, and patients.
* Ensure all invoices are in line with the terms of the contract and accurately reflect the services provided by the healthcare company.
* Monitor billing cycles to ensure timely issuance of invoices, particularly for recurring services.
*Accounts Reconciliation:*
* Reconcile accounts receivable balances, ensuring that all payments are accounted for and properly posted.
* Identify discrepancies between the ledger and actual payments received, and work with clients to resolve any issues promptly.
*Payment Tracking and Collection:*
* Monitor and track incoming payments from clients and patients, ensuring they are received within the agreed payment terms.
* Follow up on overdue accounts through phone calls, emails, and letters, adhering to company policies for debt collection.
* Implement strategies to minimize overdue accounts and bad debts.
*Internal AR Relationship Manager:*
* Serve as the primary point of contact for clients regarding accounts receivable matters, providing clear communication and resolving any queries or concerns.
* Repots to/from Team Leads regarding Invoicing and receivables management.
*Reporting:*
* Prepare regular reports on the status of accounts receivable, including aging reports, to be reviewed by the Accounts Receivable Manager.
* Provide analysis of trends in receivables, including insights into payment delays or issues with specific clients or contracts.
*Compliance and Documentation:*
* Ensure all accounts receivable activities comply with company policies, industry regulations, and relevant healthcare laws.
* Maintain accurate and organized records of all transactions, contracts, and communications related to accounts receivable.
*Audit Support:*
* Assist in preparing for internal and external audits by providing necessary documentation and explanations for accounts receivable transactions.
*System and Process Improvement:*
* Utilize accounting software and other tools to manage receivables efficiently, recommending improvements to existing processes.
* Participate in the implementation of new software or system upgrades related to the accounts receivable function.
*Team Collaboration:*
* Work closely with the Finance team, including Accounts Payable, Payroll, and Operations, and Contract Leads, to ensure a cohesive approach to managing the company?s finances.
* Assist in training new team members and sharing best practices within the department.
*Skills and Qualifications:*
* High school diploma or equivalent required; associate degree in accounting or related field preferred.
* 2-3 years of experience in an accounts receivable or similar role, preferably within the healthcare industry.
* Familiarity with healthcare billing procedures and insurance claims processing.
* Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Office Suite, particularly Excel.
* Strong attention to detail and organizational skills.
* Excellent communication skills, both written and verbal.
* Ability to work independently and as part of a team in a fast-paced environment.
