*Summary:*
Reporting to the CEO of the Southern First Nations Network of Care, the incumbentprovides a high level of direct administrative support and office management with the ability to anticipate needs, think critically, and offer solutions to situations as they may arise. The incumbent also works closely with, and provides administrative support to, the Board of Directors, often serving as the liaison between the CEO and Board members.
*Key Responsibilities:*
· Organizes and prepares information for the CEO?s internal/external daily activities
· Maintains a complex calendar/schedule for the CEO, ensuring that meetings, appointments, presentations, and other functions are coordinated and carried out seamlessly
· Drafts and/or prepares sensitive correspondence, memos, letters, reports, briefing notes, agendas and meeting minutes as requested
· Creates and maintains both paper and electronic filing systems
· Tracks ongoing projects and maintains and updates SFNNC operational plans and strategic service plans, ensuring deadlines are met
· Ensures a high level of integrity is maintained by practicing discretion and confidentiality with regards to highly sensitive materials
· Performs standard office functions for the CEO such as printing, faxing, photocopying, fielding calls and emails, and receives, review, and evaluates incoming mail
· Responds to inquiries courteously and promptly and conveys information where appropriate
· Tracks CEO and Board expense reports, ensuring they are submitted in a timely fashion
· Makes travel and meal arrangements for CEO and Board as required
· Provides administrative support to the Board, including maintaining and recording minutes and motions during Board meetings
· Prepares and processes honorarium requisitions
*Education & Experience Qualifications:*
· Formal training in Office Administration or Business Administration
· Minimum of five years? experience in an administrative capacity OR 1 ? 2 years? experience in an
Executive Assistant role
· Experience working in a child welfare environment would be considered an asset
· Experience working at an advanced level in Microsoft Office Suite, including Word, Power Point, Excel, Outlook, and Teams, and superior keyboarding skills at 50 wpm
· Experience operating standard office equipment such as fax machine/photocopier/printer
· Experience working in a highly legislated and regulated environment
· Experience writing and formatting moderately complex correspondence, including memos, letters, reports, and briefing notes, agendas, and meeting minutes
· Exceptional attention to detail with superior time management skills, multi-tasking skills, and the ability to organize and prioritize tasks with minimal supervision while meet deadlines
· High level of sound, independent judgment and reasoning and a thorough understand of
discretion and confidentiality with the ability to consistently maintain it
· Must possess excellent written and oral communication skills
· Must be able to work independently and under pressure.
· Must be a team player, challenged by working in an environment of change, and committed to the
aspirations of First Nations to restore jurisdiction for child and family services
· Must have demonstrated understanding of Indigenous culture and traditions
· The ability to communicate in an Indigenous language would be considered an asset
*Other Requirements:*
· Must provide a satisfactory and current Criminal Record Check with vulnerable sector search, a satisfactory Prior Contact Check, and a clear and current Child Abuse Registry Check
· A valid class 5 MB driver?s license with access to a reliable vehicle for business travel
· Must be available, at times, to respond to time sensitive and/or routine inquiries after regular business hours including weekends
