<p><strong>Scope of Position:</strong></p> <p>As a member of the insurance team, the bilingual insurance administrator provides daily support to residences and the real estate team to manage property losses and tenant claims.</p> <p><strong>Job Duties:</strong></p> <ul> <li>Open and close insurance claims</li> <li>Monitor and verify, that all reports and costing of an insurance claim is received in the required time.</li> <li> Monitor and verify all Purchase Orders are processed</li> <li>Assist General Managers, Project Managers, Insurance companies, Restoration companies and others to move claims to completion using protocols in place.</li> <li>Procure all necessary information to move insurance claims forward in an extremely timely manner </li> <li>Submit email to 3rd party adjuster notifying them of the potential claim</li> <li>Submit and follow up final email to 3rd party adjuster regarding claims costs recovery </li> <li>Submit Final Release once recovery settlement is determined and agreed to by the Manager Risk and Insurance</li> <li> Liaising with external parties in a professional manner</li> <li>Maintain electronic documents for all claims</li> <li>Maintaining calendars using MicroSoft Outlook</li> <li>Organization and scheduling of meetings/appointments and the booking of meeting rooms</li> <li>Prepare Power Point presentations</li> <li>Prepare handouts for meetings</li> <li>Regularly maintain insurance claim spreadsheets and database</li> <li>Prepare analytical claims costing documents for corporate and for Manager, Risk and Insurance</li> <li>Liaising with other departments as required</li> <li>Handling and appropriately distributing incoming and outgoing mail</li> <li>Handling telephone inquiries</li> <li>Coding, processing invoices, preparing all emergency Purchase Orders, preparing repair Purchase orders when necessary</li> <li>Assisting corporate yearly insurance renewal, reviewing renewal documents, insurance certificate requests</li> <li>Other duties as assigned</li> </ul> <p><strong>Education:</strong></p> <ul> <li> High School Diploma</li> <li> Knowledge and/or experience in handling insurance claims an asset</li> </ul> <p><strong>Experience:</strong></p> <ul> <li> 2 to 5 years administrative experience, preferably in the insurance industry</li> </ul> <p><strong>Skills & Abilities:</strong></p> <ul> <li>Proficient in MS Office, with superior working knowledge of Excel, Word and Power Point Programs</li> <li>Proficient in MS Outlook and SharePoint</li> <li>Strong written and verbal communication skills</li> <li>Ability to maintain confidentiality of files</li> <li>Excellent customer service and negotiating skills </li> <li>Ability to work in a fast-paced environment and able to adapt to change</li> <li>Self-directed with the ability to juggle multiple schedules</li> <li>Ability to multi-task and prioritize multiple deadlines</li> <li>Organize and expedite work flow</li> <li>Ability to communicate verbally and in writing in both French and English</li> </ul>
