Christian Farmers Federation of Ontario (CFFO) is a professional organization for family farm entrepreneurs. The CFFO was established to help our members live out their faith in their farming practices and to help the government develop policies and programs that protect the long-term success of agriculture. As a provincially Accredited Farm Organization (AFO), we advocate on behalf of our members, advising the provincial government on policy solutions for a broad range of agricultural, rural, and social issues that impact the quality of life and the businesses of our farm families.
POSITION DESCRIPTION
We are seeking an Office Administrator to join our team and oversee the daily administrative operations of our office. The ideal candidate will be responsible for managing various tasks to ensure the smooth running of the office.
The Office Administrator reports to the General Manager.
Office Duties
* Sort, print, and distribute incoming/outgoing mail including courier packages.
* Manage and organize office files and documents.
* Handle incoming calls and inquiries, directing them to the appropriate personnel when needed.
* Oversee the ongoing maintenance, and potential improvements, of the physical infrastructure of the CFFO office. This includes but is not limited to, telephone systems, computer systems, photocopiers, etc. Arrange for servicing of office equipment.
* General office maintenance and cleanliness including garbage removal and organization.
* Develop and maintain good working relationships with partners and outside suppliers.
* Under the direction of the General Manager maintain records of assets and ensure leases, corporation status, domain, and other contracts and insurances are in good standing.
* Order office supplies.
* Assist the General Manager with the employee benefit program.
* Provide basic in-house IT support for staff and board. Act as a point of contact for external IT support.
* Provide guidance to the Property Committee.
* Work with the General Manager and CFFO Accountant to supply all necessary financial documentation. This also includes traveling to their office to pick up cheques or documents.
* A Continuous improvement leader who can analyze the office processes and make suggestions on how to improve them
* Assist in booking staff travel when required
* Assist marketing and communications to distribute incoming emails from the CFFO?s general email account.
* Work with the marketing team to update Mailchimp electronic distribution lists
Executive Board Liaison
* Assist the General Manager to ensure the Board?s Annual Agenda is followed and Board committee duties are met.
* Organize board meetings: prepare agendas in consultation with the President and GM, take meeting minutes, prepare action plans, etc.
* Assemble and distribute Board-related materials, as needed. Ensure necessary reports (president, GM, staff, operations, etc.) are completed on a timely basis.
* Provide administrative assistance to Board committees as requested.
* Register Board members for meetings and events; book hotels as required.
* Assist the General Manager to ensure governance policies and CFFO by-laws are adhered to and reviewed regularly.
* Communicate with stakeholders as directed by the Board.
* In consultation with the GM, plan annual Board Retreats; book consultants, catering, venue, etc. as required.
* Develop and maintain training manuals for new Board members; assist the President in conducting new Board member training.
FBR Administration
* Become an expert in the Farm Business Registration Program and Farm Property Tax.
* Assist the General Manager and the Farm Business Registration team to customize the system that links financial information to membership data.
* Process Farm Business Registration files, and issue receipts and membership cards.
* Data entry and analysis and create reports for staff and district board members.
* Prepare and process personal membership renewals.
