We are currently seeking a motivated and detail-oriented Property Management Assistant to join our team and contribute to the efficient management and administration of our properties.</p><p><strong>Job Summary:</strong></p><p>The Property Management Assistant will support the overall administration of building operations, ensuring smooth and efficient management of properties. This role involves a variety of tasks, including tenant communications, maintenance coordination, administrative support, and record keeping. The ideal candidate will have strong organizational skills, excellent customer service abilities, and a proactive attitude.</p><p><strong>Key Responsibilities:</strong></p><ul><li><p><strong>Tenant Relations:</strong></p><ul><li>Serve as a primary point of contact for tenants, addressing inquiries and concerns in a professional and timely manner.</li><li>Assist with lease renewals, move-ins, and move-outs, including preparing and reviewing lease agreements.</li></ul></li><li><p><strong>Maintenance Coordination:</strong></p><ul><li>Manage and track maintenance requests, ensuring timely resolution of issues.</li><li>Coordinate with maintenance staff and external contractors to schedule repairs and routine maintenance.</li><li>Conduct property inspections to identify maintenance needs and ensure compliance with safety standards.</li></ul></li><li><p><strong>Administrative Support:</strong></p><ul><li>Maintain accurate and up-to-date property records, including lease agreements, tenant information, and maintenance logs.</li><li>Prepare and distribute property-related documents, such as notices, reminders, and reports.</li><li>Assist in processing rent payments and handling billing inquiries.</li></ul></li><li><p><strong>Building Operations:</strong></p><ul><li>Oversee the day-to-day operations of the property, ensuring adherence to company policies and procedures.</li><li>Assist with managing property budgets and expense tracking.</li><li>Support property managers in implementing and enforcing building rules and regulations.</li></ul></li><li><p><strong>Customer Service:</strong></p><ul><li>Provide exceptional service to tenants, addressing their needs and resolving any issues that arise.</li><li>Foster positive relationships with tenants and create a welcoming environment within the property.</li></ul></li></ul><p><strong>Qualifications:</strong></p><ul><li><strong>Education:</strong> High school diploma or equivalent required; Associate's degree or relevant certification preferred.</li><li><strong>Experience:</strong> Minimum of 1-2 years of experience in property management, real estate, or a related field is preferred.</li><li><strong>Skills:</strong><ul><li>Strong organizational and multitasking abilities.</li><li>Excellent written and verbal communication skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software.</li><li>Ability to work independently and as part of a team.</li><li>Problem-solving skills with a proactive and customer-focused approach.</li></ul></li></ul><p><strong>Working Conditions:</strong></p><ul><li>Part-time hours (Two week days and Saturday).</li><li>Ability to handle physical tasks related to property inspections and maintenance.</li></ul><p><strong>Compensation:</strong></p><ul><li>Competitive salary based on experience.</li></ul><p><strong>Application Process:</strong></p><p>Interested candidates should submit their resume and a cover letter detailing their relevant experience and qualifications.
