The successful candidate will provide support to our Office Manager and Engineering team. This role requires strong communication and organization skills, as well as a good understanding of the construction industry. You should be a team player with great attention to detail, a positive attitude and strong work ethic.
Responsibilities:
Proposal Administration - Assist in preparing, tracking and following up on client proposals and RFQ?s including:
* Review RFQ documents and develop required scope.
* Review architectural and mechanical drawings.
* Prepare proposals and cost estimates for review by Senior Engineers.
* Prepare contracts, review tenders, supporting documentation, clearances etc.
Project award and intake activities including new project set up, client onboarding and request for required information.
Communicate with clients and other team members to coordinate various aspects of work.
Communicate with various cities and regions to facilitate permits and appointments and update tracking information.
General administrative responsibilities including assistance with client calls. Tasks may include but are not limited to:
* Answer incoming calls and redirect to the appropriate staff member.
* Formatting documents, proposals and reports in Word.
* Assist in preparing hardcopies of reports for clients and arrange postage or courier.
* Assist with monthly expenses, accounts receivable and invoicing.
* Assist with updating and sorting files, drafting and proofreading correspondence and conducting research.
* Assist with marketing initiatives.
Help create a positive team driven office environment.
Report to the Office Manager.
Desired Skills and Experience:
* Minimum experience ? 2 years of relevant experience in the engineering or construction industry.
* Must possess a strong proficiency in Microsoft Word and Excel.
* Must be detail oriented with strong attention to detail and organization skills.
* Familiarity with engineering or construction industry is an asset.
* Ability to read architectural, structural, mechanical and electrical drawings is an asset.
* Previous experience in engineering proposal writing is an asset.
