We are looking to add an Office Assistant to the Lions Bay team. The Office Assistant should be honest and team oriented. While no marine experience is required preference will be given to individuals who enjoy the marine/motorsports industry. If you have a passion boats, fishing, or recreational vehicles this is the place for you to start your career.
*Job Description*
* Managing client profiles in Lightspeed Evo software
* Ensure customer information is collected correctly
* Solve customer concerns in a professional manner and following up with clients
* Collecting/Refunding sales deposits as required
* Assisting with the day to day operations of the sales dept.
* Customer service and ensure a high level of customer satisfaction
* Maintain detailed records of all conversations with clients
*DAY TO DAY*
* Answer phones & check mail
* Check emails, respond & forward accordingly
* Administrative support to General Manger
* Ordering & receiving parts
* Transfer of all parts required onto Work Orders
* Parts sales (counter sales)
* Parts returns to suppliers and recieving credits
* Shipping & receiving Subtrade items
* Management of inventory system ? updating & maintaining inventory pricing & year end count
* Receiving supplier invoices to validate before giving to bookkeeper
* Yamaha / Mercury Debit & Credit notes to bookkeeper
* Yamaha monthly statement to bookkeeper
* Managing OEM Recieving Accounts
* Calculation of daily Time Cards for technicians & transferring information onto work orders ? Time Cards to bookkeeper for payroll
* Writing up all new work orders for new jobs as they come in, including new customer documentation
* Preparing customer invoices ? completed invoices to bookkeeper
* Maintaining the Accounts Receivable spreadsheet
* Statement of Account to delinquent customers ? support from General Manager
* Receiving payments from customers
* Settling POS terminal & making bank deposits ? deposit book to bookkeeper
* Maintaining customer files
* Scheduling Job Board & updating Boat Data forms
* Updating Production logs and updating Work Order logs
* Update Estimate File as required ? in conjunction with General Manager
* Stay updated with Lightspeed
*Miscellaneous:*
* Order / pick up supplies at staples and thank you cards for Yamaha Engine purchases
* Oversee Cleaning of office & organizing office as necessary
* Maintaining front display room stock and stock room from container
* Manage all disposals such as recycling & garbage pickups as needed
*Qualifications*
* Exceptional English verbal and written communication skills
* MS Office experience
* Strong Computer Skills
* Ability to multitask in and establish priorities in a busy environment
* A positive attitude and helping mindset
* An eye for detail
* Flexible work attitude

· Based on Experience
· Bonus Pay
· Relocation Allowance for Eligible candidates.
8am-5pm Monday- Friday
Job Types: Full-time, Permanent
Pay: $20.00-$30.00 per hour
