*Position 1: Front Desk Agent*
*Job Overview:* We are seeking a friendly and organized Front Desk Representative to join our team. The ideal candidate will be our client's first point of contact, providing exceptional customer service and ensuring a welcoming atmosphere. This role involves managing front desk operations, assisting with administrative tasks, and maintaining a smooth flow of communication within the office.
*Responsibilities:*
* Greet and assist clients as they arrive, ensuring a positive first impression.
* Handle phone calls, appointments, and inquiries efficiently with professionalism and excellent phone etiquette.
* Perform data entry tasks accurately to maintain up-to-date client records.
* Schedule appointments and manage calendars efficiently.
* Process client payments and maintain accurate records.
* Handle administrative duties such as filing, proofreading documents, and managing office supplies.
* Utilize Microsoft Office and Google Suite applications (Docs, Sheets, etc.) for various tasks including document creation and spreadsheet management.
* Assist with bookkeeping tasks using QuickBooks when necessary.
* Maintain confidentiality of sensitive information in a medical environment.
* Collaborate with team members to ensure seamless operations and excellent customer service.
*Requirements:*
* *Language Skills:* Proficient in English (second native/CBC), Mandarin, and Cantonese.
* *Technical Skills:* Proficient in Microsoft Office (Word, Excel, Outlook) and Google Suite applications.
* *Personal Qualities:* Friendly, enthusiastic, and approachable with excellent communication skills.
* *Sales Skills:* Ability to promote and upsell services and products.
* *Other:* Strong ability to manage stress and provide excellent customer service under pressure.
* Experience with QuickBooks is a plus.
* Familiarity with medical or dental office procedures is preferred but not required.
* Strong organizational skills and ability to multitask in a fast-paced environment.
