We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is vital in ensuring smooth day-to-day operations by providing administrative support to various departments and team members. The ideal candidate is proactive, resourceful, and thrives in a fast-paced environment.
*Responsibilities:*
* Handle correspondence via email, phone, and mail, ensuring prompt and professional communication.
* Organize and maintain filing systems, both physical and digital.
* Order office supplies and maintain inventory levels.
* Prepare, edit, and format documents.
* Serve as the first point of contact for visitors, ensuring a welcoming and professional environment.
* Taking payments from customers, maintain the reception and customer coffee bar areas.
* Entering and balancing the daily transactions of the entire dealership.
* Stocking in vehicles and create vehicle files.
* Accounts receivable: Generate invoices for completed jobs and emailing to the customer. Calling customers and businesses to collect payments.
* Perform other administrative duties as assigned.
*Key Skills:*
* Strong attention to detail
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools and software.
* Exceptional organizational and multitasking abilities.
* Ability to maintain confidentiality and exercise discretion.
* Professional demeanor and a customer-service oriented attitude.
* Self-motivated with a strong ability to prioritize tasks effectively
* Ability to work independently and in a team oriented setting
* Ability to multi task and prioritize work load
* Excellent verbal and written communication, comfortable in dealing with customers, suppliers and co-workers
* Ability to learn our dealership software
*Experience and Qualifications:*
* Administrative/Reception experience is not required but an asset.
* Knowledge in Microsoft Office
* Ability to work in a fast paced environment
