*Job Description:*
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role involves a mix of administrative, HR, and customer service responsibilities, ensuring smooth business operations. The ideal candidate will assist with employee records, online order management, responding to customer inquiries, and supporting the Operations Manager with various tasks.
*Key Responsibilities:*
*Employee Records and Attendance Management:*
* Review and verify employee punch-in records for accuracy.
* Maintain and update employee vacation, sick leave, and attendance records.
* Report discrepancies or issues to the Operations Manager.
*HR Support:*
* Assist employees with benefit enrollment and documentation.
* Support onboarding and offboarding processes.
* Ensure all employee records are up-to-date and properly filed.
*Online Order Management:*
* Monitor and check online orders for accuracy and completeness.
* Communicate with customers to confirm order details or resolve issues.
* Coordinate with internal teams to ensure timely order processing and delivery.
*Customer Service Support:*
* Respond promptly to customer inquiries via phone, email, or other communication channels.
* Conduct follow-up calls to gather feedback or address minor concerns.
* Maintain professionalism to ensure a positive customer experience.
*Administrative Support:*
* Assist the Operations Manager with paperwork, filing, and record-keeping.
* Manage correspondence, scheduling, and meeting coordination.
* Maintain organized and efficient filing systems.
*Office Coordination:*
* Handle incoming calls, emails, and other communications professionally.
* Monitor and replenish office supplies as needed.
* Provide general administrative support to the team.
*Additional Duties:*
* Undertake other tasks and responsibilities as assigned by the manager.
* Adapt to changing priorities and provide support in different areas as needed.
*Requirements:*
* Proven experience in an administrative or customer service role.
* Strong organizational and multitasking skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
* Excellent written and verbal communication skills.
* Ability to maintain confidentiality and handle sensitive information.
*Preferred Qualifications:*
* Familiarity with online order systems or e-commerce platforms.
* Experience in HR support tasks, such as benefits administration and employee record-keeping.
* Strong customer service and problem-solving skills.
